SCHOOL BOOKING TERMS & CONDITIONS

1. Booking Confirmation & Correspondence

A booking is considered confirmed once both parties have agreed on a performance date and confirmation has been approved via email or verbal agreement.

  • Approval from school administration is not a condition of confirmation. Mashed Theatre & Films recognises confirmation from the teacher or contact person with whom we have been corresponding.

  • It is the responsibility of the contact teacher to ensure administration approval before confirming a booking.

  • For verbal bookings, Mashed Theatre & Films will follow up with written confirmation via email.

  • If a booking is made via email rather than through our official booking form, we assume the client has read, understood, and agreed to these Terms & Conditions.

2. Booking Cancellation Policy

Our cancellation policy applies to all confirmed bookings:

  • A 20% cancellation fee applies to all cancelled bookings.

  • Cancellations made within 8 weeks of the scheduled performance may incur a cancellation fee of up to 100% of the invoice, including any travel-related costs.

  • Each cancellation will be assessed on a case-by-case basis, taking into account the reason and timing of the request.

3. Booking Reschedule Policy

We understand schools may need to adjust their booking dates. To ensure fair compensation and effective tour planning:

  • Reschedule requests made 8 weeks in advance or more will be accommodated subject to availability.

  • Requests made within 8 weeks of the scheduled performance will incur a rescheduling fee of $300.00 (exc. GST) to cover committed performer wages and administrative costs.

  • Requests made within 48 hours may not be possible due to logistical constraints. If a reschedule is not feasible, the full performance fee may apply.

All reschedule requests must be made in writing via email. Alternate dates are not guaranteed.

4. Cancellations by Mashed Theatre & Films

If Mashed Theatre & Films cancels a performance due to:

  • Medical emergency

  • Scheduling conflict

  • Force majeure (e.g. natural disasters, pandemics)

  • Human or clerical error

No fees will apply, and any associated invoices will be voided.

However, if a cancellation occurs due to the following, the client may still be held financially responsible:

  • Unsafe work environment – endangerment due to negligence or lack of duty of care

  • Inappropriate behaviour – persistent disrespect, hostility, or conduct that places performers at risk

5. Payment & Travel

Performance Fees

  • Minimum Performance Fee: $1,275.00 (excl. GST) – covers up to 150 students per show

  • Per-Student Rate: $8.50 per student applies if attendance exceeds 150

  • Schools are responsible for providing accurate attendance numbers

Invoicing

  • Invoices are issued after the performance, once final numbers are confirmed.

  • If a school requests pre-performance invoicing, that number is considered final and cannot be adjusted.

  • No refunds will be issued if actual attendance is lower than the provided numbers (when over 150 students).

Travel Fees

Travel fees may apply and are calculated based on:

  • Fuel to and from the school’s region

  • Accommodation (if overnight stays are required)

  • Travel time (discounted or absorbed unless extensive travel is required)

Key Notes:

  • A single travel fee applies per school visit

  • Multiple shows on the same day incur no additional travel fees

  • Separate visits on different dates may each incur a travel fee

Payment Terms

  • Payment is due within 30 days of invoice

  • A payment reminder will be issued after 30 days, with a 7-day grace period

  • If unpaid after this time, a late penalty may apply

6. Show Duration & Content Delivery

Our productions run approximately 50 minutes, followed by a 10-minute Q&A.

  • Actual runtime may vary depending on audience engagement and school logistics

  • Some shows may run closer to 40–45 minutes in high-paced or modified environments

  • Q&A sessions may run shorter than 10 minutes if student participation is limited

  • Extended Q&A sessions or additional engagement must be arranged in advance and may incur additional fees

7. Discounts, Agreements & Special Deals

Mashed Theatre & Films may offer discounts or custom packages for:

  • Multiple shows

  • Whole-cohort performances

  • Combined workshop + show bookings

These arrangements are agreed upon prior to confirmation and must be upheld. If breached, Mashed Theatre & Films reserves the right to:

  • Void discounts

  • Reassess fees for any affected bookings

8. Client Responsibilities

By confirming a booking, the school acknowledges that:

  • All agreements are contractually binding

  • Agreements are made in good faith and should be honoured accordingly

  • Breach of agreement may result in discounts being revoked or full fees applied

9. Breach of Agreement – Definitions

A breach of agreement includes but is not limited to:

  • Cancelling/rescheduling without adequate notice after receiving discounted rates

  • Rescheduling outside a reasonable timeframe as determined by Mashed Theatre

  • Exceeding agreed audience sizes for discounted shows

  • Failing to provide an appropriate or safe performance space

  • Creating an unsafe or hostile environment for performers

SCHOOL HOLIDAY WORKSHOPS/CLASSES TERMS & CONDITIONS

Enrolment Confirmation & Correspondence

  • An enrolment is confirmed once both parties have recognised there is a reasonable intention to commit to register in the workshops and/or classes that Mashed Theatre & Films holds. Payment is not required for an enrolment to be recognised. Once an enrolment is confirmed you (the parent/guardian) may be liable for any fees associated with cancellation, rescheduling, or registration. 
  • If an enrolment is made verbally, Mashed Theatre & Films will email a written confirmation of the enrolment to the client. 
  • If you have e-mailed our team and bypassed our respective class/workshop enrolment forms our team will operate under the assumption that the client is aware of, has read, understood, and agreed to Mashed Theatre & Films terms & conditions.

Enrolment Cancellation & Seeking A Refund

    • An enrolment can be cancelled within 14 days of the schedule term start (for classes) or workshop start date. Any time within these 14 days you, the parent/guardian, may be liable to pay a cancellation fee as per Mashed Theatre & Films discretion but no less than 20% of the total cost. 
  • Mashed Theatre are happy to refund any client (parent/guardian) if they have given us reasonable notice and reason for a withdrawal from enrolment to occur. The client, however, is not entitled to a refund once a commitment to the classes/workshops has been made. 
Discounts, Agreements & Special Deals
 
  • Discounts may be offered intermittently during an advertising campaign. During this time, any bookings made that also quote the discount code or special deal, are entitled to the discount. A client that books before or after the run of a special offer duration are not entitled to receive that specific discount offer. 
  • Agreements may be made with families or clients that are experiencing financial hardship, and Mashed Theatre & Films may offer a discount or make a payment arrangement with the family/client in good faith. This is the exception, not the rule, and is not always applied.
